Job description

About us: 

We are building a team combining Portfolio Management, Agile, and Business & System Analysis capabilities, responsible for how initiatives flow through the organization – from a business need and an idea, through decision-making and preparation, to delivery and measurable business outcomes. 

Our goal is to create a fast and effective way of working across the organization: eliminating unnecessary steps, reducing waiting time, improving the flow of information and decisions, and maintaining a strong focus on what actually delivers value. 

One of the key elements of this change is AI and automation. We actively look for opportunities to leverage new technologies across the entire initiative lifecycle. 

We work closely with the Management Board, business leaders, Product Management, and IT. We use practices from Lean Portfolio Management, Agile, and SAFe, selecting what genuinely helps the organization operate more effectively. 

We are looking for a Portfolio Manager who wants to not only manage the portfolio, but also help us change the way the organization manages it. 

Key responsibilities:  

• Managing the portfolio of strategic and development initiatives and supporting decisions around what we do, why we do it, when we do it, and what business outcomes we expect to achieve,
• Sharing responsibility for an effective end-to-end initiative lifecycle – from the initial business need through delivery and measurement of value. 
• Collaborating with the Management Board, Business Owners, Product Management, IT, and other key stakeholders to shape the portfolio and its priorities. 
• Running and evolving Portfolio Kanban and ensuring a smooth flow of initiatives through the organization. 
• Identifying where initiatives wait, get blocked, or go through unnecessary steps, and driving changes to eliminate these issues. 
• Simplifying processes, rules, and governance so that decisions can be made faster and at the right level of the organization. 
• Using data and Flow Metrics to measure process effectiveness and identify bottlenecks. 
• Preparing recommendations regarding priorities, sequencing, investments, and trade-offs between competing initiatives. 
• Monitoring the portfolio from the perspective of business impact, strategic objectives, costs, risks, and dependencies, rather than focusing solely on delivery status. 
• Preparing clear and concise decision-support materials for the Management Board and organizational leaders. 
• Identifying and implementing opportunities to leverage AI and automation within Portfolio Management and across the initiative lifecycle. 
• Working with Agile and BSA capabilities to continuously improve the way the organization operates. 

Requirements

Requirements: 

• At least 3 years of experience in Portfolio Management, program management, large-scale initiatives, or a similar role within an IT, digital, or product environment. 
• The ability to look beyond individual initiatives and understand the broader system, flow of work, and dependencies between its elements. 
• Experience working at the intersection of business, product, and technology. 
• A good understanding of Lean Portfolio Management and hands-on experience with Agile / SAFe. 
• Experience working with senior management and translating complex information into clear recommendations and decisions. 
• Strong analytical skills and confidence working with data. 
• A strong focus on outcomes, business value, and time-to-value, rather than solely on scope and schedule delivery. 
• Independence, ownership, and the courage to ask: “Why are we doing this, and can we do it more simply?” 
• Openness to experimenting with AI and new ways of working. 
• Excellent communication skills in both Polish and English. 

Nice to have: 

• SAFe certification (LPM, SA, POPM, APM, or similar). 
• Experience in Portfolio / PMO / VMO transformation or a project-to-product operating model transformation. 
• Knowledge of Flow Metrics, OKRs, Lean Budgeting, Participatory Budgeting, or Guardrails. 
• Experience designing or simplifying organizational processes.
• Hands-on experience working with AI and building AI-powered solutions, such as agents, automations, workflows, or tools supporting everyday work and business processes. 
• Practical experience using GenAI for analysis, information synthesis, work automation, process improvement, and decision support. 
• Experience with Jira / Jira Align and Power BI or similar analytical tools.
